What is Passeo?

Who is Passeo for?

Passeo is designed for clubs and groups that need a simple way to manage activities, member participation, and session records without adding unnecessary complexity.

Does Passeo only work for one type of club?

No. Passeo is flexible enough for many kinds of clubs and recurring groups, including activity clubs, community groups, classes, volunteer teams, and small organizations.

Roles & permissions

What roles exist in Passeo?

Clubs in Passeo can use role-based access so different people can have different levels of responsibility. Common roles include owner, host, and member.

Can every member manage sessions?

Not usually. Session management is typically limited to higher-permission roles such as host or owner, depending on how the club is configured.

Can permissions differ from club to club?

Yes. A club may choose how responsibilities are handled internally, so the exact workflow can vary depending on the organization's needs.

Sessions & attendance

What is the difference between going and checking in?

Going means a member plans to attend a session. Checking in means the member actually attended and the attendance was recorded.

Can a session have a maximum number of attendees?

Yes. Clubs can use capacity limits for sessions. Once a session reaches its limit, further check-ins can be prevented to avoid overbooking.

Does Passeo keep past session records?

Yes. Past sessions can be retained so clubs can review attendance history, participation totals, and activity records over time.

Can attendance and participation be tracked separately?

Yes. Depending on the club's setup, Passeo can distinguish between simple check-ins and broader participation tracking.

What is backfill?

Backfill means recording attendance after a session has already happened. It is useful when a real attendee was missed during the live session and the club needs to correct the record.

Members & access

Members can either join a club for the first time or recover an existing membership. Once inside, they can view sessions, track participation, and interact with the club.

How do members join a club?

Members join a club using a join code provided by the club organizer.

The join code is typically shared by the owner or host, and members enter it in the app to join the club.

Where can I find the join code?

Join codes are managed by the club organizer, usually the owner or host.

They can share the code directly with members. In many cases, the code is available in the club settings screen.

How do I recover my membership?

If you previously joined a club but lost access, you can recover your membership using a recovery code provided by the club organizer.

Enter the recovery code in the app to restore your access, including your credits and participation history.

When do I need a recovery code?

You may need a recovery code if you reinstall the app, switch devices, or lose access to your previous membership.

What if I don’t have a recovery code?

If you don’t have a recovery code, you will need to contact your club organizer (such as the owner or host) for assistance.

The organizer can look up your membership in the Manage Members screen and provide your recovery code so you can restore access.

Can members see upcoming sessions?

Yes. Members can view upcoming sessions, check availability, and review details such as time and location before joining or checking in.

Can organizers review member history?

Depending on role permissions, organizers may be able to review participation history, attendance records, and other club-related member activity.

Can organizers add or adjust credits?

Yes. Depending on role permissions and club settings, organizers such as the owner or host can add, deduct, or correct credits when needed.

How do I add credits to a member?

Credits are managed by organizers such as the owner or host, depending on your club’s setup.

To add credits, go to the Manage Members screen, select a member, and apply the adjustment. The change will be recorded in the member’s credit history.

This is commonly used when members purchase credits, receive adjustments, or need corrections.

Is Passeo meant to reduce manual tracking?

Yes. One of Passeo's main goals is to reduce manual coordination and make attendance, sessions, and role-based responsibilities easier to manage in a consistent way.

Pro & billing

Do all members need to pay for Passeo Pro?

No. Passeo Pro is a club-level upgrade. When one member upgrades, Pro features are unlocked for the entire club.

What features are included in Passeo Pro?

Passeo Pro includes advanced tools such as reports, exports, and audit logs. These features help clubs track participation, review activity, and maintain better long-term records.

Can I use Passeo without upgrading?

Yes. Passeo is free for everyday club operations, including sessions, check-ins, and participation tracking. Pro is only needed for advanced reporting and operational visibility.

Who can access Pro features?

Once a club is upgraded, all members in that club can access Pro features, depending on their role and permissions.
